Learn how to update DKIM and Return-Path settings on your email domain so that SendBoard can send emails on your behalf

This article deals with the specifics of how to configure your email domain for using a custom ‘from’ address in SendBoard. For an overview of how custom addresses work in SendBoard, you’ll first want to read ‘Custom email addresses’.

Note that this step is optional and is only required in order to send emails from your custom email address. You'll need to make some minor Domain Name System (DNS) changes with your domain service provider that authorise SendBoard to send emails on your behalf. This might seem confusing because it's something most of us rarely do. If you're uncomfortable making these changes, or do not have access yourself, please reach out to your system administrator or whoever helped set up your domain.

Setting a custom email in Trello

Let's dive into each step

You’ll first need to ensure that your custom email address is configured on a SendBoard mailbox with a verified forwarding rule in place. For help with this, see Step 1 under Custom email addresses.

Once you have successfully verified a forwarding rule for your custom address, you'll find the details you need to continue on the Mailbox Settings screen. Just click the link to 'View DNS changes'. This will reveal the information you need for the addition of DKIM & Return Path records on your custom domain (e.g. example.com).

Find the DNS settings for your domain on SendBoard

After clicking 'View DNS changes', you'll see some DNS settings that look something like this:

These are just example values - the details you see will be specific to your custom email address.

The two records here, for DKIM and Return-Path, are what you’ll need when updating your DNS settings. You can click on one of the 4 values to copy the text to your clipboard.

1. Add a new DKIM record 

The process for updating your DNS settings will differ depending on who you host your domain with. But the basic steps are very similar for popular domain hosts like Google Domains, AWS, GoDaddy or Cloudflare.

  1. Click on the DKIM Hostname value under your SendBoard Mailbox Settings to copy it to your clipboard.

  2. Sign in to the management console for your domain host (e.g. Google Domains, AWS, GoDaddy or Cloudflare).

  3. Locate the page where you add/update DNS records.

  4. Add a new TXT record.

  5. Paste your DKIM hostname that you copied from SendBoard as the TXT record name.

  6. Head back to SendBoard settings and copy the string of text under Add this value for DKIM.

  7. Back in your domain management console, in the second field, paste the string value under TXT record value.

  8. Save your changes.

2. Add a new Return-Path record 

The process here is very similar. The main difference is that you’ll be creating a new DNS record with a type of CNAME ratherTXT.

  1. Click on the Return-Path Hostname value under your SendBoard Mailbox Settings to copy it to your clipboard.

  2. Sign in to the management console for your domain host.

  3. Locate the page where you add/update DNS records.

  4. Add a new CNAME record.

  5. Paste your Return-Path hostname that you copied from SendBoard as the CNAME record name.

  6. Head back to SendBoard settings and copy the string of text under Add this value for Return-Path.

  7. Back in your domain management console, in the second field, paste the string value under CNAME record value.

  8. Save your changes.

What about the SPF record?

You don't need to add SPF records for your SendBoard mailbox. The Return-Path domain is used by receiving email domains to check for SPF alignment. Have a look at this article by Postmark explaining why SPF is no longer required.

3. Verify Your Settings

Once you’ve made these changes with your domain host, head back to SendBoard to verify your settings. Click Verify Settings and we will start periodically checking to see if the required changes are in place. DNS changes may take up to 48 hours to propagate, so it may take up to for the verification to complete.

Once verified, all outgoing emails will have the ‘from’ address set to your custom address.


A note on public domains

It's unfortunately not possible to set the 'From' address to an email on a public domain like Gmail or Yahoo. This is because sending emails from a domain you don’t control can be viewed as email spoofing and is prohibited by many email providers. Additionally, in order to increase email deliverability, you will need to modify DNS entries for the domain. Public email accounts do not provide any way for you to change DNS settings.
