Learn how to set up a forwarding rule from Gmail to Trello to receive emails in Trello via your custom email address.

The Email for Trello Power-Up makes it possible to send emails to and from a Trello board. To receive emails in Trello via your custom email address, you will need to create a forwarding rule with your mail service provider. Once this is set up, any emails you receive at your custom email address will automatically be forwarded to your Board Email Address in Trello.

How to forward emails from Gmail to Trello

Set up a simple forwarding rule

  • Click the Forwarding and POP/IMAP tab from your Gmail settings.

  • In the "Forwarding" section right at the top, click Add a forwarding address (to set a new forwarding address).

  • Enter the SendBoard email address you want to forward to and follow the prompts.

  • A verification message will be sent to your board address. It will look like a new card on your board and contain the verification code you need to verify.

  • Once you've added the verification code in the Forwarding and POP/IMAP tab and set up the forwarding rule.

  • Remember to click Save Changes at the bottom of the page.

Forward emails that match a specific filter

If you only want to forward certain emails to your Trello Board, you can create a create a filter for these messages in Gmail. Here's how to set it up.

  • Open Gmail settings and go to the Filters and blocked addresses section.

  • Select Create new Filter and enter your search criteria. (Tip: Click Search to check that your filter works correctly.)

  • Click Create filter to create the filter and manage the action(s) that should be taken

  • Check the 'Forward it to:' option and add your SendBoard board address.

  • Click Create filter.

Emails you receive that match the filter will automatically be forwarded to your Trello board.

Exclude certain emails from being forwarded

You may want to exclude certain emails from being forwarded, to your Trello board, for example emails from a specific address (e.g. a system generated notification email) or with a specific subject.

Gmail filters can use negative keywords to exclude addresses or words in the subject when forwarding emails to Trello. Here's how to set it up.

  • Go to the Filters and blocked addresses section in your Gmail settings and enter a dash (-) followed by the address you wish to exclude e.g -info@example.com. Note that you will need to include a dash before the address (it will translate to not this address).

  • Click Create filter to create the filter and manage the action(s) that should be taken.

  • Check the 'Forward it to:' option and add your SendBoard board address.

  • Click Update filter.

Note that if you are using filters with forwarding as explained above, the 'general' auto-forward should be disabled as in the screenshot below.

Please test your forwarding rules thoroughly to ensure that the correct emails are being forwarded/excluded.

Verify your forwarding rule in Trello

Once you’ve added the forwarding rule, return to your mailbox settings in Trello. Enter your existing email address in the field labeled ‘Custom Email Address’ – then click the ‘Verify settings’ button.
